Job Summary
The Proposal Manager will lead the proposal response process in a fast-paced, deadline-driven environment, working closely with Project Managers to develop technical solutions. This is a hybrid role that can be based in Las Colinas, TX; Jacksonville, FL; Kansas City, KS; Omaha, NE; Philadelphia, PA; Chicago, IL; or Newark, NJ.
Essential Duties & Responsibilities
- Lead pursuit strategy sessions with business development teams to develop capture plans and winning strategies.
- Analyze RFQ/Ps upon release and prepare written assessments outlining requirements for successful response efforts.
- Develop high-quality, persuasive proposals and presentations for multiple concurrent pursuits, ensuring compliance with RFP requirements and quality standards.
- Coordinate and supports key messages and collaborate with graphics teams to deliver impactful visuals.
- Partner with project managers to prepare technical sections, performing comprehensive and accurate editing and proofreading to ensure accuracy.
- Build, update, and maintain a library of qualification statements, project descriptions, and resumes and qualifications showcasing firm strengths and client benefits.
- Mentor peers, marketing coordinators, and assistants, while promoting proposal best practices.
- Design and deliver training sessions for the Marketing Team to implement best practices.
- Perform quality assurance/quality control reviews of proposals, resumes, and project sheets to maintain excellence.
- Flexible schedule with occasional overtime (evenings and weekends) to meet strict deadlines and ensure top-quality deliverables.
- Must thrive in a fast-paced, deadline driven, and demanding environment.
- Adaptable to other duties as assigned to support business needs.
Qualifications
Knowledge, Skills & Abilities
- Strong proofreading/editing skills and exceptional attention to detail
- Strong organizational skills to manage multiple priorities effectively
- Positive mindset and “can-do” attitude
- Ability to multi-task, prioritize, and work independently as well as in team environments, in meeting tight deadlines
- Excellent interpersonal and communications skills for collaborating across teams.
- Proficiency with electronic communications including e-mail and text as well as standard office applications (i.e., Microsoft Office Suite, Adobe InDesign, Adobe Suite)
Required Education And Experience
- Bachelor’s degree in Communications, Marketing, or related field
- Previous experience reading and responding to RFPs
- A minimum of 10 years of recent experience working in Marketing, Business Development, Proposals, or Graphics department at an A/E/C firm is strongly desired
- Proficient in InDesign, Microsoft Word, PowerPoint, Excel, and Outlook
Preferred Qualifications
- Understanding of Civil Engineering or A/E industry terminology and delivery methods
- Familiarity with CRM system desirable
- Experience with AI platforms preferred
