Executive Marketing Assistant (2026)
Location: Fully Remote (Canada-based only)
Position Type: Full-Time (may require supporting different time zones from where you reside)
Salary: $52,000–$63,000 annually

What You’ll Do
This is a hybrid role supporting both the CEO and the broader marketing team. You’ll act as the operational Velcro, filling gaps, keeping projects on point, communication tight, and systems running cleanly.
Executive Support & Administration
- Manage and optimize shared inboxes, calendars, priorities and follow-ups.
- Draft, proof, and format SOPs, internal updates, client correspondence and company documents.
- Prepare reports, organize meeting notes, track action items and ensure deliverables move forward.
- Coordinate travel, events, logistics, reservations, vendors, and expenses; secure good value and capture impeccable detail.
- Maintain SharePoint organization, enforce naming conventions, and keep documents easy to find.
Marketing & Project Support
- Monitor and route inbound messages from agency channels (email, social, Slack, web).
- Research companies, trends, events, tools, competitors and audiences to support strategy development.
- Create and maintain dashboards, spreadsheets, trackers and reporting files.
- Prepare and format marketing assets (captions, transcripts, templates, documents, slides).
- QA marketing content for typos, broken links, clarity and brand consistency.
- Update Asana projects, monitor deadlines and keep things moving efficiently.
Social Media Support
- Support client social media monitoring, urgent responses and escalations
- Support the Community Management team with overflow volume, vacation coverage and illness coverage (may require some weekend and holiday support)
- Draft social media content for urgent updates, event coverage and client requests
Client & Vendor Coordination
- Liaise with contractors, partners, vendors and suppliers as needed.
- Support sourcing, ordering and tracking of marketing materials or operational items.
- Assist with event administration: RSVPs, reminders, calendar invites, summaries and post-event follow-ups.
AI, Automation & Efficiency
- Use AI tools for document generation, quality checks, research, formatting and transcript processing.
- Identify bottlenecks and propose new workflows or automations to improve speed and quality.
Special Projects
- Support the CEO with internal initiatives, operations improvements, process documentation and special campaigns.
- Contribute to agency culture initiatives, team events and internal communication.
What You Bring
Must-Haves
- 2+ years of experience supporting an executive, marketing team or fast-moving operations environment.
- Exceptional written communication;; you catch typos everytime.
- High-level organization skills with the ability to juggle many tasks without dropping details.
- Strong proficiency with Office 365 (SharePoint, Excel, Word, PowerPoint).
- Tech-comfortable, resourceful, and hungry to learn new systems quickly.
- Calm under pressure, fast without being sloppy, and able to anticipate needs before they arise.
- Comfortable working independently in a remote environment with clear accountability.
Bonus Points
- Experience in a marketing agency, consulting environment or technical/B2B sectors.
- Demonstrated ability to prep documents, data, decks or reports with polish.
- Experience with Asana, Slack, HubSpot, Canva, SEMRush or marketing tools.
- Familiarity with AI tools, automations or prompt engineering.
- A genuine love of organization, systems, and making sense of chaos.
