Position Summary
The Marketing Operations Coordinator is a critical, cross-functional role responsible for bridging the gap between marketing strategy and execution. You will ensure the smooth flow of projects, maintain data integrity across our systems, and manage day-to-day administrative tasks for the leadership team.
This is a hybrid position based in Superior, WI, requiring regular in-person attendance for training, team collaboration, and meetings.
Key Responsibilities
I. Operations, Workflow & Quality Assurance (The "Operations" Focus)
- Project System Ownership: Serve as the primary administrator for our project management platform, ClickUp, ensuring all client projects and internal tasks are accurately logged, assigned, and tracked against deadlines.
- Quality Assurance (QA): Conduct final checks and rigorous quality assurance on marketing deliverables (e.g., scheduled social posts, final email content, landing page copy) to ensure flawless execution before launch.
- Process Documentation: Maintain, update, and create new Standard Operating Procedures (SOPs) and documentation for all marketing and operational processes to ensure consistency and efficiency across the agency.
- Resource Coordination: Monitor team workloads and project timelines within ClickUp to flag potential bottlenecks or capacity issues to the leadership team.
II. Marketing Coordination & Systems (The "Marketing" Focus)
- High-Level CRM Support: Assist in maintaining the integrity and structure of our Customer Relationship Management (CRM) system, focusing on data hygiene, lead assignment rules, and ensuring seamless integration with marketing efforts.
- Campaign Management: Coordinate the end-to-end execution of internal and external marketing campaigns, managing the master content calendar and trafficking assets between creation and launch.
- MarTech Administration: Assist with the basic administration of our marketing technology stack (e.g., email service provider, social media scheduler) and troubleshoot basic system issues.
- Reporting & Data: Gather and compile basic marketing performance data and analytics to assist in creating weekly and monthly client and internal reports.
III. Operations Support
- Meeting Management: Schedule and coordinate internal meetings, prepare and distribute meeting agendas, and accurately capture and track follow-up action items.
- Financial Admin: Assist with processing vendor invoices, managing expense reports, and supporting internal budget tracking processes.
- Document Control: Draft, proofread, and format professional documents, and manage digital filing/storage of client and company records.
Key Qualifications and Skills (All of which can be trained)
- Interest or experience in a Coordinator, Project Management, or Administrative role (1-3 years preferred).
- Exceptional attention to detail and a proactive approach to finding and fixing errors (essential for the QA component).
- Demonstrated experience using ClickUp or a similar advanced project management tool.
- Strong verbal and written communication skills for clear process documentation and stakeholder collaboration.
- Proficiency with Microsoft Office Suite (Excel, Word) or Google Workspace (Sheets, Docs).
- Ability to work effectively in a hybrid environment and reliably attend necessary in-person sessions in Superior, WI.
Bonus Qualifications
- Experience with a high-level CRM system (e.g., HubSpot, Salesforce).
- Experience in a digital marketing agency or a high-volume project environment.
- Background in Quality Assurance or systems auditing.

Base Pay: $35, $57,568.08 per year
