Position Overview
Are you detail-oriented and skilled at managing processes behind the scenes? Kelly is on the hunt for a Marketing Operations & Procurement Coordinator—a pivotal role supporting the smooth execution of marketing programs and events for healthcare professionals.
In this role, you’ll handle procurement tasks, coordinate logistics for educational events and sponsorships, and ensure compliance with complex healthcare industry regulations. Your work will directly support our mission to develop and promote breakthrough cancer treatments while meeting high industry standards.
Key Responsibilities
Procurement & Vendor Management
- Manage purchase requests, contracts, sponsorship agreements, and onboarding of new suppliers using procurement systems such as eMP and Aravo.
- Monitor and track purchase orders, communicate with finance to resolve issues, and ensure timely payment to vendors.
- Serve as a primary liaison for vendor relationships, supporting event organizers, medical educators, and other suppliers.
Events Coordination & Compliance
- Coordinate sponsorships and logistics for medical conferences and educational events for healthcare professionals.
- Ensure all events and partnerships adhere to health and pharma compliance regulations.
- Act as a key point of contact for internal teams and external partners before, during, and after events.
Process Optimization & Internal Support
- Identify opportunities to streamline procurement, contracting, and event processes; share solutions for enhanced efficiency.
- Support and train internal teams on procurement and compliance systems and best practices as you become more experienced.
- Maintain accurate documentation for compliance and audit purposes.
Qualifications
- Bachelor’s degree in Business Administration, Life Sciences, Marketing, or a related field.
- Experience in pharmaceuticals (especially oncology or biotech), with an understanding of industry-specific terms (e.g., “sponsorship agreements”, “healthcare compliance”, “PO reconciliation”).
- Proven experience handling vendor relationships, procurement systems (e.g., eMP, Aravo), and event coordination
- Familiarity with healthcare compliance requirements related to spending, reporting, and professional interactions.
- Exceptional attention to detail, organization, and communication skills.
