Ecommerce Store 2025 Accounting Cleanup and 2026 System Set Up

I am seeking an experienced e-commerce bookkeeping specialist to clean up my 2025 books and build an automated accounting system for 2026.

I run a growing 3D-printing board game company (C-Corp) doing approximately $20k/month in revenue across Shopify and Etsy.

Key Responsibilities & Deliverables

Deliverable 1: 2026 Clean System Setups

Automation Setup

Integrate Shopify, Etsy, Taxjar, and QuickBooks Online to automate payout summaries.

I am open to paying for another service if needed but would prefer to not add further subscriptions unless it really simplifies things.

I'd like this complete to have sales starting Jan 1 to be "clean"

Receipt Management

Set up a system to automatically fetch receipts from emails from various sources. I am willing to pay for a service to do this but only if needed. I'd like this complete to have sales starting Jan 1 to be "clean"

Deliverable 2 (After automation set up)

2025 Cleanup: Reconcile all bank transactions, Shopify/Etsy payouts, and vendor expenses for the past 12 months. This can be completed after Jan 1st if needed.

C-Corp Compliance

Categorize owner reimbursements correctly for our US-based tax preparer.

Financial Reporting

Provide a final 2025 Profit & Loss and Balance Sheet that is tax-ready.

Required Skills & Experience

Expertise in QuickBooks Online

Shopify/Etsy payouts currently appear as lump-sum deposits. Please describe how you would reconcile these

Proven track record in e-commerce bookkeeping cleanup (please provide examples of similar projects).

Experience with Shopify and Etsy payout reconciliation, including handling marketplace fees and sales tax.

Ability to work independently, I'd like to be pretty hands-off once this project is completed for ongoing accounting.

Project Details

Budget

$800 Fixed Price for the full cleanup and system setup.

Timeline

Systems must be live by Jan 1st; full historical cleanup to be completed by mid-January.

Future Opportunity

This can lead to ongoing monthly maintenance (approx. 2-4 hours/month) for the right candidate.

Contract duration of less than 1 month.
