Position Summary
The primary responsibility of the eCommerce Coordinator is to provide excellent customer service in a friendly and courteous manner. This position supports the functions of eCommerce activities related to cashiering; storefront creation, modification, and implementation; and the reconciliation of all eCommerce activity. This position is responsible for posting journal entries related to eCommerce bank deposits to the general ledger. This position will resolved bank reconciling items related to eCommerce activity in a timely manner. This position will utilize a strong working knowledge of excel to accomplish eCommerce reconciliation tasks. This position is responsible for Payment Card Industry Data Security Standards (PCI DSS) compliance. This position requires safeguarding and protection of confidential information in accordance with federal and university policy.
Essential Duties and Responsibilities
- Provide a courteous and timely response to student account inquires via face-to-face, telephone and email requests
- Investigate and resolve customer issues
- Daily monitoring of bank account to identify eCommerce deposits
- Daily reconciliation of eCommerce student payment and storefront activity
- Refund eCommerce payments, create refunding receipt and journal entry
- Post journal entry to book eCommerce ACH deposits
- Resolve outstanding eCommerce bank reconciling items in timely manner
- Daily reconciliation of eRefunds processed through the TouchNet system
- Monitor and notify AR staff of eRefunds returned
- Assist with monitoring and processing returned checks
- Maintain eCommerce audit support
- Troubleshoot eCommerce issues
- Create, modify, and implement eCommerce storefronts, as needed
- Serve as a back-up cashier
- Verify and prepare daily gift report deposits, as needed
- Generate reports as needed to perform daily activities
- Ensure compliance with PCI DSS requirements
- Complete annual SAQs and report accordingly to university acquirers
- Safeguard and protect student account information in accordance with federal requirements and university policy
- Participate and support graduation, freshmen orientation and registration activities
- Assist with annual financial audit as requested
- Provide support to the Bursar’s Office as needed to obtain departmental goals and objectives
- Other duties as assigned
Education/Experience
- BS in accounting or business-related field with 2 years’ experience, or an AAS in accounting or business-related fields with 3 years’ experience in ecommerce, banking, accounts receivable, or accounting experience, preferred
- High degree with 5 years’ experience in college/university Student Financial Services with Ellucian Colleague ERP and a minimum of 2 years’ experience working with higher education eCommerce system, such as TouchNet or PayMyTuition.
- Experience in a higher education or non-profit sector is also preferred
Knowledge, Skills, and Abilities
- Datatel’s Colleague software experience, preferred
- TouchNet software experience, preferred
- Demonstrated proficiency in Microsoft Excel, required
- Knowledge of Microsoft Word, Outlook, PowerPoint and the Internet
- Communicate effectively to all groups through both oral and written channels
- Maintain strict confidentiality and attention to detail are essential.
- Demonstrate tact, a positive attitude, courtesy and discretion in dealing with trustees, faculty, staff, students, high-level university officials and the public.
- Work independently as well as function effectively in a team and within a diverse group of people.
- Exercise independent judgment in complex and new situations.
- Manage multiple, concurrent projects, and meet strict deadlines.
- Detail-oriented and willing to work in a changing environment.
- Upon hire, have a broad knowledge of, and abide by, Campbell University policies and procedures, including, but not limited to; PCI DSS regulation, NACHA regulation, and FERPA guidelines.
