We work with landlords, tenants, and nationally expanding brands across key U.S. markets, with a strong focus on fitness, wellness, food & beverage, and experiential concepts.

We are seeking a highly organized, detail-oriented Marketing & Executive Assistant to support senior leadership while assisting with marketing coordination and brokerage operations.

Role Overview

This role combines executive support with marketing and social media coordination. You will work closely with the Founder/President and brokerage team to keep projects moving, materials polished, and communications professional and on-brand.

This position is ideal for someone who is proactive, design-aware, and comfortable managing multiple priorities in a fast-paced environment.

Key Responsibilities

Executive & Administrative Support

  • Provide day-to-day support to senior leadership, including calendar coordination, meeting scheduling, and follow-ups
  • Draft and manage professional correspondence and internal communications
  • Assist with organization of files, contacts, and project trackers
  • Coordinate calls, meetings, and occasional travel logistics

Marketing, Social Media & Brokerage Support

  • Assist with creation and updates of marketing materials (flyers, intro decks, pitch decks, proposals, and digital assets)
  • Maintain brand consistency across all marketing collateral
  • Coordinate listing materials, property information, and data updates
  • Assist with social media coordination, including drafting captions, scheduling posts, and supporting a consistent brand presence across platforms such as Instagram and LinkedIn
  • Support basic content planning related to listings, deals, firm updates, and announcements
  • Assist with market research, property data organization, and internal reporting

General Team Support

  • Manage multiple projects simultaneously and track deadlines
  • Serve as a point of coordination between brokers, clients, and vendors
  • Anticipate needs and proactively support the team as priorities shift

Qualifications

  • 1–3 years of experience in an administrative, marketing, or executive support role
  • Strong written and verbal communication skills
  • High attention to detail and strong organizational skills
  • Ability to manage multiple tasks and shifting priorities
  • Proficiency in Microsoft Office and Outlook
  • Familiarity with Adobe Express, Canva, or Adobe Creative Suite preferred
  • Familiarity with social media platforms (Instagram, LinkedIn) for professional or business use preferred
  • Professional, polished, and client-facing demeanor
