The Associate Director supports the Philanthropy & Marketing Director in developing and executing ADRA Canada’s fundraising and marketing strategy, ensuring alignment with the organization’s mission. This role helps integrate marketing and fundraising efforts to grow the brand, increase giving revenue, and optimize departmental operations—while embodying ADRA’s values of being Connected, Courageous, and Compassionate.

Location: Newcastle, ON (hybrid: 3 days in office, 1 remote)

Travel: Up to 90 days/year, national and international

Work Hours: 38 hours/week; 4-day work week option available

KEY RESPONSIBILITIES

A. Seventh-day Adventist Church Relations/Ministry (10% of each workweek)

Participate in daily worship and prayers; lead devotionals
Counsel callers on the role of the Seventh-day Adventist mission and pray with them as appropriate.
Support and educate partners on ADRA’s ministry role within the global Seventh-day Adventist movement.
As requested, contribute to corporate publications, and represent ADRA Canada and its mission at presentations/speaker appointment requests, particularly with ADRA Canada’s partners.
Ensure that all ADRA Canada activities are carried out in accordance with the values and religious beliefs of the ADRA network and the Seventh-day Adventist Church.
As part of the ADRA Canada ministry, act in a way that reflects the religious beliefs and practices of the Seventh-day Adventist Church, both on and off duty.

B. Operations/Technical (90% of each work week)

Strategic Leadership & Operations Management

Support the PhilM Director in developing and implementing the organization’s strategic plan and policies, ensuring alignment with the organization’s mission and goals.
Support the PhilM Director in developing and implementing a comprehensive strategy to diversify funding sources and maximize revenue across a range of revenue streams to enhance the long-term growth of the organization’s national and international programming.
Support the departmental director to develop and implement standard operating procedures for consistent team operations.
Coordinate workflows between PhilM teams, including Fundraising, Marketing, Communications and Creative Studio.
Develop and monitor communications/operations project timelines, deliverables and budgets within PHILM, ensuring deadlines and budgets are met.
Report to the PHILM Director on progress of implementation of departmental plans & strategies, achievement of department goals, monthly fundraising event income and expenditure, level of donor engagement and retention.
Participate in and contribute to AdCom & Board meetings as an invitee.
Represent ADRA Canada and its mission at SDACC institutions/presentation and speaking appointments/exhibitions/conventions/camp meetings/and schools as required by the PhilM Director.
Contribute to corporate publications and writing of content for the website and other public forums.
In collaboration with the PHILM Director, develop sermons, presentations and theological papers/articles that reflect ADRA Canada’s purpose, motto and values.
Maintain and optimize departmental tools, systems, and processes to streamline operations.
Work with the departmental director to resolve conflicts or bottlenecks that arise.
Coordinate and schedule team meetings, director’s meetings, prepare minutes for all meetings and distribute key follow up dates as assigned.

Data & Financial Analysis

Provide basic donor and campaign analytics to support fundraising strategies.
Create simple reports on segmented donor trends and donor retention.
Work with a designer to make information accessible.
Evaluate the financial performance of fundraising campaigns and events, analyzing return on investment (ROI), cost per dollar raised, and donor acquisition costs to inform decision-making.
Develop and maintain revenue forecasts based on historical giving data, pipeline reports, and market trends to support long-term planning and goal setting.
Produce regular financial reports for Director, providing actionable insights into fundraising performance, marketing spend, and financial health.

Fundraising Support

Collaboratively oversee and develop key donor relationships nationally to strengthen and grow long-term donations.
Assist with the development and execution of an annual giving plan, including at least four fundraising and emergency campaigns each year, to increase participation and long-term financial growth from loyal supporters, prospective donors, and lapsed donors.
Managing the implementation of new fundraising events.
Provide direction and support to the donor recognition and stewardship program to ensure timely recognition.
Manage the plans for securing major gifts and deferred gifts from donors through estate planning, trust and other types of gifts.
Oversee Grant Advance.
Oversee ADRA Connections & Youth Fundraising.

Marketing/Faith based Relations Support

Assist with the annual marketing planning process to create a robust organizational marketing and public relations strategy to inspire and create excitement around ADRA’s work.
Assist in building, protecting and managing the Agency brand including ensuring adherence to branding guidelines, graphic standards, and monitoring of public relations issues/media crises management strategy.
Work with the marketing team members to develop and enhance promotion and recognition tools aimed at individual donors to be leveraged across various platforms and channels such as website, print pieces, email content, story/pic/video library, frames).
Develop and implement a strategy to inform and engage faith-based communities about ADRA’s work.
Foster the relationship between ADRA Canada and the leadership and constituency of the Seventh-day Adventist Church.

Team Management

Facilitate a safe and positive culture within the assigned team consistent with ADRA Canada’s values of being connected, courageous and compassionate.
Assist the departmental director in PhilM recruitment and onboarding, ensuring smooth integration into the team.
Supervise, mentor, and develop a high performing team as assigned, fostering a culture of learning to meet program and productivity expected outcomes.
Manage contractor contracts.
Conduct regular performance assessment of assigned team in line with ADRA Canada’s performance assessment guidelines.
Ensure the assigned team is equipped with information, skills and tools needed to execute their roles effectively.
Regularly establish priorities for assigned team members and encourage a high level of communication/coordination within the team.
Lead regular check-in meetings with assigned team and support the departmental director in monthly departmental team management meetings.
Promote diversity, equity and inclusion within the assigned program team in agreement with ADRA Canada’s faith-based principles and SDA church guidelines.
Perform other duties as designated by the Director.

Required qualifications and experience

EDUCATION, EXPERIENCE AND CORE COMPETENCIES

Must-Haves

Undergraduate degree in philanthropy, marketing, public relations, fundraising, communications, non-profit management or related field.
A citizen or permanent resident of Canada or the ability to legally work in Canada, by virtue of holding a current valid work permit.
Minimum 1-2 years of fundraising and marketing experience in a not-for-profit.
Minimum 5 years experience in a leadership and/or management role.
Advanced relating and networking skills – Demonstrated ability to establish and maintain strong relationships with colleagues, ADRA Canada’s constituency, partners, the Seventh-day Adventist Church in Canada (including Conferences and congregations throughout Canada), and the international ADRA network; and builds wide and effective networks.
Superior presentation and written and oral communication skills in English – Speaks clearly, fluently, expresses opinions, simplifies complex information into clear decision points. Writes clearly, succinctly, and correctly; and writes convincingly in an engaging manner.
Demonstrated leadership and supervision skills – Able to provide others with clear direction and set standards of behaviour including a strong ability to motivate and facilitate the development of others.
Able to provide specialist and detailed technical expertise in fundraising and marketing.
Strong initiative. Able to anticipate needs and be proactive. Self-disciplined to meet deadlines and strong work ethic. Self-directed to take action and resolve issues. Strong sense of responsibility and ability to perform while delivering superior supporter service.
Excellent organizational skills and attention to detail.
Proficient in CRM/data analysis and management, especially in Raiser’s Edge.
Proficient in the use of financial software/systems for analysis and reporting.

Nice-to-Haves

Masters degree in philanthropy, marketing, public relations, fundraising, communications, non-profit management or related field.
CFRE (Certified Fundraising Executive) designation.
Certification in fundraising management.
Knowledge of AFP guidelines, Donor Bill of Rights and CRA guidelines.
Written and oral communications skills in French.
