Position Summary
This role is responsible for supporting the day-to-day administrative operations of the Facilities departments while also contributing analytical and process-improvement support. The position combines administrative coordination, data management, inventory tracking, reporting, and customer service with business analysis aimed at improving systems and workflows.
Key objectives include maintaining accurate records and inventories, supporting audits, processing work orders and purchasing documents, coordinating with internal teams and vendors, and ensuring timely follow-up on facilities- and security-related requests. The role also involves collecting and analyzing data from multiple sources to identify inefficiencies, improve processes, and enhance the overall experience for internal stakeholders.
The ideal candidate is detail-oriented, service-focused, and analytical, with the ability to manage multiple priorities, support cross-functional teams, and contribute to continuous improvement in a growing within the department and the organization.

Summary Essential Job Functions
- Prepare and analyze operational reports, KPIs, and trends to support strategic and business decision-making.
- Perform daily, weekly, and monthly reviews of processes using operational metrics and performance reports.
- Analyze systems and workflows; recommend, implement, and monitor process and systems improvements.
- Evaluate and communicate financial and operational impacts of procedural and strategic changes.
- Conduct internal customer service research to support business and strategic planning.
- Develop, maintain, and update Facilities Department policies, procedures, and compliance documentation.
- Serve as liaison with vendors for contract execution, vendor management, and line-of-credit setup.
- Maintain departmental databases and records, including facilities, assets, kitchens, data storage, and employees.
- Process and verify facilities financial documentation, purchase orders, invoices, expense reports, and check requests.
- Coordinate with IT, support space management (Nuvolo), and assist with dual-control operational processes.
- Bachelor’s Degree in appropriate field of study or equivalent work experience
- Strong analytical skills with the ability to collect, organize, analyze, and disseminate significant amounts of information with attention to detail and accuracy.
- Knowledge of data processing and analysis tools such as SQL, SAS, and Excel VBA
- Ability to work independently and with others.

- Experience using SAS for data analysis and statistics.
- Experience with Jira preferred`
- Experience with ServiceNow preferred.
- Excellent written and verbal communication skills.
- Knowledge of credit card banking industry practices, regulations, and standards
