- *Responsibilities**
- **Oversee daily office operations, including scheduling appointments, managing calendars, and coordinating service calls for HVAC projects**
- **Supervise administrative staff and support team members with training, development, and performance management**
- **Handle bookkeeping tasks such as invoicing, payroll processing using QuickBooks, and maintaining accurate financial records**
- **Responsible for creating and posting social media content to all social platforms**
- **Keeping a marketing budget and collaborating with our third party Marketing agency SCORPION to optimize efficiency**
- **Be proficient using Microsoft EXCEL/WORD**
- **Coordinate human resources activities including onboarding new employees, maintaining personnel files, and addressing employee inquiries**
- **Maintain organized filing systems for service records, permits, warranties, and other essential documentation**
- **Manage front desk duties including multi-line phone systems, greeting clients professionally, and providing excellent phone etiquette**
- **Proven experience in office management within an HVAC or related technical service environment**
- **Supervising experience with strong leadership skills to motivate and guide staff effectively**
- **Proficiency in QuickBooks for bookkeeping, payroll processing, and financial reporting**
- **Excellent schedule management skills to coordinate multiple projects and appointments efficiently**
- **Knowledge of human resources procedures including hiring processes, employee relations, and compliance standards**
- **Exceptional communication skills with the ability to convey information clearly and professionally**
- **Highly organized with keen attention to detail in filing, record keeping, and administrative tasks**
- **Familiarity with office experience tools such as multi-line phone systems, calendar management software, and clerical procedures**
