Marketing Operations Assistant

Penmac Staffing is now hiring a Marketing Operations Assistant in Springfield, Missouri to help manage the logistical and operational aspects of the in-house marketing department, which serves 30 branch locations in 7 states.

This role assists with promotional inventory, event support, vendor coordination, fulfillment of marketing material requests, and other administrative tasks as needed. This is a great opportunity for someone who enjoys staying organized, working behind the scenes, and helping a team run smoothly.

This is a full-time position (40 hours per week), Monday-Friday. There is some flexibility with start and end times, but being present in the office every weekday is required. Pay is based on experience.

Key Responsibilities

  • Track inventory and ordering of promotional items, branded apparel, business cards, and printed collateral
  • Assist local branch managers and other leaders to plan and coordinate marketing events, including job fairs, trade shows, and community initiatives
  • Serve as the main point of contact for marketing-related vendor relationships (such as printers, promo item vendors, and apparel suppliers)
  • Track marketing invoices, shipping records, and project timelines.
  • Share monthly allocation reports with accounting department
  • Support team-wide campaign implementation by ensuring timely delivery of materials and event logistics
  • Prepare, pack, and ship promotional item orders for internal teams and events; track shipments and share shipping records and billing details with the accounting department
  • Help to maintain a well-organized system for tracking requests from branch offices and internal team
  • Order general department supplies as needed and occasionally assist with local errands, pickups, or deliveries to ensure timely project execution
  • Fulfill shared department responsibilities, including providing excellent service to internal teams, collaborating on creative development, participating in team meetings and planning sessions, and pitch in as needed to support urgent requests or large projects.

Qualifications

  • Bachelor’s degree or equivalent work experience in marketing, communications, or project coordination
  • 2–4 years of experience in marketing coordination, administration, office management, or related fields
  • Strong organizational and time management skills
  • Excellent communication and problem-solving abilities
  • Comfortable handling multiple projects and shifting priorities
  • Ability to review invoices for accuracy, track expenses and inventory, and communicate clearly with accounting team
  • Basic familiarity with shipping processes and documentation is helpful
  • A valid driver's license and a motor vehicle record check are required for occasional local errands and pickups
