If so, we're seeking an exceptional Senior Manager of Marketing Operations to be a critical member of the new Marketing Operations CoE within our innovative organization.
The Sr. Manager will provide end-to-end operational leadership and drive continuous improvement across HCP and Speaker Contracting, Advisory Boards, Speakers Bureau, Sponsorship & Congress Management, Print & Fulfillment, and MLR Operations across four therapeutic areas.

It requires the selected individual to become a champion for evolving processes and operations to be more efficient and effective for internal and external stakeholders. Cross-functional partnership will include but is not limited to marketing, sales, compliance, medical, legal, regulatory, finance and professional organizations.
Responsibilities
- Manage the comprehensive HCP & Patient contracting and payment process for all engagements, ensuring compliance and adherence to policies.
- Serve as internal subject matter expert for HCP & Patient engagements, training employees on all processes/SOPs/systems as needed.
- Lead end-to-end operational planning and execution of HCP and Patient Ad Boards.
- Ensure proper contracting, honoraria calculations, documentation and payment processing for all advisors.
- Manage all logistical operations for live or virtual ad boards.
- Oversee vendor partners to ensure seamless execution, accuracy and timeliness.
- Lead all aspects of vendor management for speaker bureau operations, reporting, program logistics and budget management.
- Ensure compliance with HCP engagement policies, process and programs in close collaboration with Compliance, Legal and Business Operations partners, and help ensure audit preparedness and operational excellence.
- Oversee daily operation and continuous improvement of sponsorship process.
- Partner with internal stakeholders on approval system optimization and development of end-user training guides.
- Act as main point of contact with association, which includes but not limited to communication sponsorship commitment, manage sponsorship payment and fulfillment of sponsorship benefits.
- Lead complex, cross-functional planning teams to successfully manage the execution of all benefits within each sponsorship.
- Lead and optimize MLR processes, including guidance to MLR coordinator, develop and maintain training guides, and partnership with US Regulatory and Global Veritas (PromoMats) Teams.
- Partner with Head of US Marketing Operations on expedited review needs, GenAI optimization and content transformation scalability.
- Oversee vendor partner to ensure streamlined operations for new item set-up, printing, fulfillment, destruction and reporting.
- Oversee the release, updates, and expiry of promotional materials via Veritas (Veeva PromoMats) and other fulfillment services.
- Manage the ordering portal, ensuring accurate inventory and a positive end-user experience.
Requirements
- Bachelor’s degree: required
- 6+ years’ experience: in pharmaceutical/biotech marketing operations, commercial operations, agency operations, meeting management, project management or related fields.
- Demonstrated expertise: in compliant promotional operations and cross-functional stakeholder management (including MLR-facing work).
- Proven project and vendor management skills: include budget management, planning, prioritization, objective setting, and logistics execution.
- Excellent communications skills: with an ability to efficiently and productively communicate both orally and in writing.
- Proven ability: to collaborate with cross-functional teams.
- Proficiency: with Microsoft Word, PowerPoint, Excel, Outlook and Sharepoint
- English: required; other language skills may be considered a plus.
