Job Description The Events and Marketing Coordinator supports the Events department with planning and execution of in‑person and virtual events and delivering event-focused marketing and content. Primary function is operational event support; marketing responsibilities are event‑centric (promotions, copy, basic design, and content distribution). Works cross‑functionally with Marketing, Travel, A/V, and external vendors to ensure consistent brand experience and successful events and presentations. This role also supports execution of integrated marketing campaigns tied to events and broader organizational initiatives, including digital promotion, content development, lead generation support, and maintenance of event-related content across web and CMS platforms. Location: This position is available for Northeast Ohio local candidates. Must reside in or relocate to Cleveland/Akron/Canton or nearby. ESSENTIAL JOB FUNCTIONS: Event Operations Assist with planning, logistics and day‑of management for meetings, conferences, trainings, community events, and executive meetings (venue setup, rooming lists, signage, catering, attendee registration/check‑in). Coordinate on‑site vendors and partner with A/V teams for setup, rehearsals, livestreams, and trouble‑shooting. Prepare and distribute event materials (agendas, name badges, printed collateral, signage, kits). Manage attendee communication: invitations, confirmations, reminders, event FAQs, and post‑event follow up. Support travel coordination for staff, speakers, and guests (booking assistance, itineraries, rooming lists) in line with travel policy and using travel tools as required. Maintain event budgets, track expenses, process invoices and assist with expense and Workday/Swoogo reporting. Maintain event calendars, attendee databases, and CRM/CMS entries; produce basic attendance and post‑event reports including feedback summaries. Marketing & Content Support Draft and edit copy for email campaigns, web/event pages, social posts, and on‑site signage; ensure messaging aligns with brand and event goals. Create simple visual assets and slide decks and coordinate with design or multimedia teams for advanced assets. Assist with basic video capture/editing for event promotion or recap clips, coordinate media uploads to asset libraries or hosting platforms. Support promotional product orders and inventory for event giveaways and branded materials. Implement simple SEO/keyword best practices for event pages and support lead capture workflows in HubSpot or similar platforms. Manage and update website content through the CMS, including landing pages, campaign content, and collateral (recaps, recordings, and digital assets), ensuring accuracy, engagement, and brand consistency. Build and optimize landing pages, forms, and registration experiences within HubSpot or similar platforms to support campaign performance and lead generation. Monitor and analyze campaign and website performance (email metrics, page engagement, registrations, conversions) and provide actionable insights to improve results. Execute and maintain the content calendar, including publishing and updating blog posts, campaign content, and internal communications to support broader marketing initiatives. Support audience segmentation, targeting, and lead capture workflows within CRM platforms to enhance campaign effectiveness and recruiting efforts. Manage and coordinate content distribution across digital channels to ensure consistent messaging, timing, and user experience. Oversee ordering, inventory tracking, and fulfillment of promotional materials and branded merchandise to support marketing campaigns and events, ensuring timely delivery and alignment with brand standards. Vendor & Stakeholder Coordination Solicit quotes, compare vendors, and prepare documentation for vendor selection and PO processing. Serve as point of contact for speakers, sponsors, vendors and internal stakeholders on event logistics and requirements. Escalate contractual or high‑value vendor matters to senior staff and Procurement/Legal as needed. KNOWLEDGE, SKILLS AND ABILITIES: Associate degree or Bachelor’s degree in Marketing, Communications, Hospitality, Event Management, or related field preferred; or equivalent work experience. 0–2 years in events, hospitality, marketing, administrative support, or customer service. Internship or volunteer event experience welcome. Proficiency with Microsoft Office (Excel, PowerPoint, Outlook).Experience with CMS/HubSpot, Workday, or travel booking tools is a plus. Basic familiarity with Adobe Creative Cloud (Photoshop, Illustrator, Premiere) or Canva preferred. Strong organization, attention to detail, verbal and written communication, customer service orientation, problem solving, ability to manage multiple priorities and meet deadlines. Comfortable working with cross‑functional teams, leadership, vendors, and external speakers. Professional demeanor and strong follow‑through. Willingness to work occasional evenings, weekends, and travel for events (up to 10–25% depending on event schedule). Hands-on experience or familiarity with Content Management Systems (CMS) for updating web pages and digital content preferred. Familiarity with email marketing tools, CRM platforms (HubSpot preferred), and basic analytics/reporting tools (Google Analytics or platform-native reporting) preferred. Basic understanding of digital marketing concepts including content publishing, email marketing, and website performance metrics. PHYSICAL DEMANDS: While performing the duties of this job, the employee is regularly required to sit for prolonged periods and occasionally walk, stand, bend, stoop, and lift up to 15 pounds. Required to have close visual acuity to perform the job.
